Cremation Coordination in Baruta, Venezuela with No Family In-Country
Coordination of a cremation service for an affiliated member based in the United States, with no direct family in-country, resolving special documentation and an unexpected banking setback.
Context and situation
An affiliated member based in the United States at the time of her father's passing in Caracas, Venezuela, contacted our emergency line. She was already familiar with the process from a previous coordination for her mother, and requested that we work with the same funeral home.
The main challenge was that the affiliated member had no direct family member present in the country to handle documentation and validate the cremation, and could not travel for immigration reasons. We had to act as intermediaries with the funeral home to arrange the corresponding authorization, signed and validated remotely.
How we coordinated it
We followed our six-stage protocol: active listening, information gathering, internal coordination and provider activation, constant contact with the affiliated member, follow-through until the service was complete, and post-service follow-up.
A second setback arose during the process: the bank transfer to cover the service did not go through, delaying the delivery of the ashes. We coordinated with the administrative teams on both sides to enable an alternate payment method, keeping the affiliated member informed at every step of the solution.
Outcome and takeaway
The service was resolved in six days, two more than typical for this type of coordination, due to the banking setback. The ashes were delivered to the family along with a floral arrangement, and we also offered a photographic record of the delivery for the affiliated member.
